Job Description
The Warehouse Logistics Coordinator position is responsible for all aspects of the enterprise record and control of purchased and manufactured inventory items on an inbound and outbound basis. Proper recording and control of the inventory items is essential to efficient enterprise Supply Chain maintenance. Practices inventory control using cycle counts, analyzing inventory accuracy, movement, re-distribution and reconciling of discrepancies.
Responsibilities
Level 4:
- Performs assignments routine in nature, requiring minimal decision making.
- Develops familiarity with ERP and WMS systems, learns functions that support warehouse logistics operations.
- Gains knowledge of who the stakeholders are. Builds a functional knowledge of the roles of the stakeholders.
- Acquires knowledge of terminology used to describe processes.
- Gain knowledge of the design of the warehouse facility and the multiple storage configurations.
- Acquires product knowledge relative to handling, storage, and transport characteristics.
- Acquires knowledge of how to operate mobile devices.
Level 3: Meet all the requirements of Level 4, plus:
- Utilizes the ERP and WMS systems to perform inquiries and produce reports on transactional history, where used, and planned inventory movement in support of inventory reconciliation, receipt, transfer, and shipment
- Expedites receipt, inspection, shipment, and delivery of parts which are critical to maintain a production schedule in the factory and/or maintenance/repair schedule in the field. Delays to these schedules can result in significant financial penalties.
- Assists WMS mobile material handlers with resolving inventory discrepancies and redirects them to alternate locations as necessary, in a real time environment.
- Monitors Spare Parts order reports and Production Kitting requirements. Releases orders into WMS. The releases are timed to match shipment dates posted to a master sales order shipment schedule and a Production schedule.
- Performs and reconciles cycle counts, generates reports and maintains cycle count records.
- Reconciles inventory and corrects deviations between LN, WMS, and physical inventory.
- Maintains telegram and alert tracker reporting which identifies discrepancies between the systems.
- Maintains a receiving schedule to include arranging receiving appointments with carriers.Monitors an import container schedule. Ensures timely offload and status reporting. This reporting is used to ensure timely offload and receipt of goods as well as ensure accurate billing of delivery services.
- Maintains the company Enterprise Resource Planning (ERP) and Warehouse Management System (WMS) systems for the transaction of purchase receipt, put away, production issue, shipping, and re-distribution requirements.
Level 2: Meet all the requirements of Level 3, plus:
- Coordinates transport for outbound shipments with External departments.
- Prepares documents related for transport (Packing list, consignment notes, Sea packing slips)
- Orders equipment for shipment of sales orders based on calculations and estimates. Miscalculations and flawed estimates can result in delayed shipments and transport cost premiums.
- Performs audits for shipments and documents to ensure accuracy of Affiliate, delivery method, and to ensure all parts and packaging have a coinciding packing slip.
- Monitors workflow to ensure work segments are being performed on-time to meet the schedule. Communicates issues that can lead to delays to Lead and Supervisor.
- Researches and resolves Incident Reports that reflect shipment discrepancies discovered at delivery.
- Reports shipment data in multiple formats. Inaccurate reporting generates inaccurate invoicing and customs duties and will generate delays to delivery, fines, and penalties.
- Works within the framework of international cargo operations which includes time constraints with distinct arrival and departure dates and windows. Failure to meet these standards leads to delayed shipments and increased costs.
- Ensures timely and accurate processing of shipment information, used to purchase LTL and LCL services. Delays and inaccurate processing can result in transport cost premiums.
- Maintains the company Enterprise Resource Planning (ERP) and Warehouse Management System (WMS) systems for the transaction of purchase receipt, put away, production issue, shipping, and re-distribution requirements.
Level 1: Meet all the requirements of Level 2, plus:
- Maintains continuous interaction with Purchasing, Production Planning, Spare Parts Sales, External Logistics, Production Operations and QA.
- Organizes and coordinates material movements that are outside the normal processes, ensures a successful conclusion.
- Continuously trains users on processes, including new users.
- Continuously resolves issues by adding missing information and/or researching to determine where the disconnect is.
- Ensures information communicated to all stakeholders.
- Maintains on time reporting of KPI data.
- s knowledge of Warehouse Logistics operations with users in other departments to
- resolve issues and improve service.
Competencies
Level 4:
- High school diploma or general education degree (GED) with three to four years combined experience with WMS and ERP in a distribution center or warehouse support role or equivalent combination of education and experience.
- Ability to follow work instructions to complete routine tasks.
- Knowledgeable of the fundamentals of material movement and associated procedural controls.
- Ability to effectively communicate with all levels and perform effectively in a Team environment.
- Functional skills in ERP LN and WAMAS systems.
- Experience with barcode scanning equipment.
- Experienced in multiple modes of transportation, documentation and associated rules and regulations,
- Able to complete assignments on time and meet deadlines.
- Familiar with and capable of using WMS and Microsoft Office applications.
- Ability to work overtime as needed.
Level 3:
- Meet all the requirements of Level 4 skills plus:
- High school diploma or general education degree (GED) with four to five years combined experience with WMS and ERP in a distribution center or warehouse support role or equivalent combination of education and experience.
- Experienced in the use of ERP, WMS and Microsoft Office applications.
- Ability to analyze data and reports to support decision making.
- Ability to reconcile inventory discrepancies.
- Knowledge of warehousing and storage operations.
- Knowledge of multiple storage configurations within the warehouse
- Ability to operate mobile barcode reader devices.
- Intermediate skills in ERP LN and WAMAS systems.
- Proficient in QA containment transactions, redirect operators when location discrepancies arise.
- Capability of demonstrating the utilization of container booking information, summary sheet, container tracking report, alert tracker, and reconciling reports from telegram reporting systems.Skilled in showcasing the process for collecting packing lists, validating information, reconciling
- discrepancies, locating “stranded parts” and uploading data.
- Competent in applying the Application of Bill Of Lading, Hazmat documentation, handling units, handling units marking requirements.
- Understanding of the Sale Order WAMAS shipment process and P. O. WAMAS receipt process from delivery to in-stock.
- Ability to demonstrate application of RIR function, SRF function and FIR function, including creditapproval.
- Ability to demonstrate the verification of Receipt Documentation, open Sales Orders Report and Frozen Shipment Report.
- Ability to demonstrate the MRO process from delivery to operation.
- Skills in operating VLM for put away and pick processes.
- Skilled in scheduling the LFS process.
- Ability to work overtime as needed.
Level 2:
- Meet all the requirements of Level 3 skills plus:
- High school diploma or general education degree (GED) with five to six years combined experience with WMS and ERP in a distribution center or warehouse support role or equivalent combination of education and experience.
- Ability to analyze data and reports to support decision making.
- Knowledge of transport modes and the fundamentals of each mode.
- Knowledge of international transport regulations and documentation
- Ability to process multiple documents and maintain a high degree of accuracy.
- Ability to operate mobile barcode reader devices.
- Intermediate skills in ERP LN and WAMAS systems
- Ability to complete assignments on time and meet deadlines.
- Ability to work overtime as needed.
Level 1:
- Meet all the requirements of Level 2 skills plus:
- High school diploma or general education degree (GED) with six or more years combined experience with WMS and ERP in a distribution center or warehouse support role or equivalent combination.
- Ability to perform daily tasks with minimal supervision
- Proven leadership capabilities to achieve tasks to ensure production goals are met.
- Proficient with advanced inquiries (inventory history, planned movement, where used).
- Advanced skills in ERP LN and WAMAS systems.
- Advanced skills in Inventory Adjustment; Shipping Incident and Credit; Receiving Incident and
- resolution processes.
- Ability to create presentations and present to a team.
- Ability to train others within the job description.
- Advanced problem-solving skills, based on process and systems skills.
- Ability to support projects with data and expertise.
- Ability to form alternative plans in response to schedule changes
- Must be able to offer direction and technical instruction when needed.
- Ability to work overtime as needed.
