Job Description
We are seeking a part-time Personal Assistant requiring 15-25 hours per week. The candidate should be located near Boynton Beach to facilitate easy access to the executive's residence. This position is within the family office, where the executive needs assistance with various clerical personal tasks. Responsibilities include managing emails and phone calls, organizing personal schedules, running errands, and coordinating travel arrangements. Additionally, the role involves occasional dog-sitting or walking duties, and shopping for the executive when necessary. The ideal candidate will have a flexible schedule, strong organizational skills, and the ability to handle confidential information with discretion.
Responsibilities
Efficiently manage and organize the executive's personal emails, prioritize important communications, and respond to routine inquiries, delegating or escalating as needed.
Coordinate and manage dog sitting and walking duties.
Plan and book travel arrangements, including flights, accommodations, transportation, and itineraries for the executive and family, ensuring smooth travel experiences by addressing any travel-related issues.
Manage the executive's calendar, scheduling meetings, appointments, and events.
Oversee and nurture connections with vendors and service providers, including household contractors, and coordinate with professionals such as accountants, lawyers, and household staffing as needed. This involves maintaining effective communication and collaboration to ensure smooth operations.
Oversee contract negotiations ensuring cost-effectiveness and adherence to terms.
Coordinate renovations, repairs, and property-related projects.
Assist with personal shopping for the executive, including clothing, accessories, and other personal items as needed.
Handle the coordination of family events and gatherings, including scheduling, planning, and communicating with vendors.
Manage and oversee household staff, ensuring tasks are completed to the executive's satisfaction.
Assist with financial management tasks, such as bill payments, expense tracking, and budgeting for personal expenses.
Maintain confidentiality of the CEO's personal and family affairs.
Undertake miscellaneous tasks as directed by the CEO.
Occasionally work from Executive's home.
Adaptable to working in the home or office settings.
Qualifications
High school diploma or equivalent.
Proven experience as a personal assistant or in a similar role.
Familiarity with email management and scheduling tools.
Experience in managing household and personal affairs for a high-net-worth individual or family is preferred.
Exceptional organizational and time management skills.
Excellent written and verbal communication skills.
Proficiency in using office software (e.g., Microsoft Office, Google Workspace).
Ability to solve problems quickly and efficiently.
High level of discretion and ability to handle confidential information.
Adaptability to changing priorities and schedules
Strong attention to detail and accuracy in tasks.
Knowledge of travel booking and itinerary planning.
