Job Description

LightFeather is looking for an entry-level Part-Time Executive Assistant to join our company in our Alexandria office. This vital role provides administrative support, meeting coordination, event planning, travel coordination, expense reporting, timesheet management, and many other administrative tasks for our leadership. The ideal candidate will be organized, a specialist at administrative support and a team player who can efficiently work with all levels of employees.

As the Executive Assistant to CEO, you will support a wide range of operational and project-based tasks while providing right arm support to a very busy executive. In this position, you will have a hand in many ongoing projects. The CEO needs an assistant who is solution-oriented and brings focused energy to the task at hand. You should be comfortable working with people, confident and capable when communicating and can adapt to rapidly changing priorities. In this role, you will come to the office 5 days per week, 4 hours per day.

This position is ideal for recent graduates or individuals with limited experience looking to develop their skills in a fast-paced, professional environment.

This is a part-time, on-site position, and candidates must be local to Alexandria, VA.

Responsibilities:

  • Coordinate and manage all logistics for business meetings and events, including scheduling, venue arrangements, and attendee communication.
  • Perform data entry, maintain organized calendar schedules, and serve as the primary expert for Google Workspace tools and functions.
  • Review incoming correspondence and draft responses on behalf of C-Suite executives as needed, ensuring timely and professional communication.
  • Oversee the CEO’s calendar, scheduling appointments, organizing engagements, and managing both domestic and international travel arrangements.
  • Manage expense tracking, compile expense reports, and ensure accurate documentation with receipts and supporting information.
  • Manage CEO timekeeping and timesheet, to ensure it is accurately filled out in a timely manner.
  • Provide comprehensive administrative support and undertake additional duties as assigned, adapting to changing priorities.
  • Stay updated on the progress of all projects to answer general inquiries and proactively update executives on deliverables.
  • Collaborate with the C-Suite team to coordinate projects related to company-wide events, retreats, and initiatives focused on enhancing company culture.
  • Assist with personal tasks for the CEO, such as collecting mail, procuring office supplies, and other personal errands as required.

Requirements:

  • US Citizenship.
  • Bachelor’s degree in Business, Communications, or a related field.
  • Strong organizational abilities with a proven capacity for multitasking and prioritization.
  • Proficient in Microsoft Office Suite (including Word, Excel, PowerPoint) and Google Workspace (Gmail, Calendar, Drive, Docs, Sheets, Slides, Meet).
  • Demonstrates creative problem-solving skills with a proactive approach to challenges.
  • Adaptable and energetic, able to thrive in a fast-paced environment with shifting priorities and competing demands.
  • Exceptional time management skills to ensure efficient task execution and deadline adherence.
  • High emotional intelligence and interpersonal skills, adept at supporting dynamic and high-performing C-Suite executives.
  • Excellent oral and written communication skills.
