Longboard Vineyards is an established small family-owned winery with a tradition of making sensational wines served to our guests in a warm and relaxed button-down atmosphere. Our urban Healdsburg winery and barrel cellar doubles as an upscale and fun event space.

Position Summary:

The Special Event Coordinator is part of our small team and works directly with the tasting room and wineclub manager and with the owner to plan, promote and execute winery events that are educational, fun and profitable. The event coordinator works with customers, outside vendors, local organizations and winery staff in executing their duties. The Event Coordinator also performs a variety of hospitality, sales and marketing activities in an efficient manner as directed by the winery principal. The Special Events Coordinator is expected to have basic knowledge of food and wine pairing, a good eye for design, and have the ability to remain enthusiastic and professional to both guests, vendors and fellow employees while carrying their duties.

Specific Duties and Responsibilities:

•  Plans and recommends winery event participation; Maintains monthly and yearly calendar of events;
•  Secures and coordinates internal and external manpower, equipment, materials required for events;
•  Records all event details, client communication, collection of funds, event wine orders and profitability reports;
•  Maintains existing vendor relationships and creates new relationships as required;
•  Manages client relationship and event coordination from initial inquiry and contract signing to full execution of the event ensuring exceptional service levels at all times;
•  During events, directs in-house and vendor staff to ensure that events are executed in an efficient and satisfactory manner. Schedules and coordinates tasks in areas related to event set up, clean up, and closing procedures making certain that at all times the event venue is professional, safe, organized and clean;
•  Proactively researches and identifies opportunities/challenges and suggests methods to improve event operations;
•  Take ownership of event execution and pride in exceeding expectations;
•  Acts as positive role model and ambassador for Longboard Vineyards in the wine industry community
•  Performs all other duties as assigned, helps with tasting room sales when needed.

Education & Experience:

•  Bachelor’s degree in Communications, Marketing or Fine Arts is preferred but not required.
•  Minimum two years of hospitality related event planning and operational experience is preferred but not required

Knowledge, Skills & Other Abilities:

•  Must be computer savvy, able to work with Excel / Word / Social Media Platforms and POS software
•  Must have strong oral and written communication skills, Strong presentation skills;
•  Must have strong organizational and problem solving skills, ability to recognize priorities and act accordingly
•  Must have business maturity, ability to adapt to fast changes
•  Must be available to occasionally work extended hours, including evenings, weekends and some holidays if needed
•  Must have valid Driver’s License
•  Must be able to safely lift full case of wine (40 lbs.)
